ASSOCIATE MANAGER, E-COMMERCE & DIGITAL MARKETING

ROLE PURPOSE

The Associate Manager, E-Commerce & Digital Marketing supports the Senior E-Commerce Manager in making sure every piece of O&M's e-commerce and digital marketing activity is planned, coordinated, delivered and maintained accurately and on time. This is the operational hub of our digital ecosystem — the person who keeps calendars, assets, EDMs, website updates and cross-functional content requirements moving efficiently so that agreed plans land exactly as intended.

It is a highly organised, execution-focused role. You will own the day-to-day coordination, maintenance and delivery of the digital programme: administering the activation calendar, briefing and chasing assets, coordinating EDM builds, keeping the website accurate and current, and giving Social and PR teams clear guidance on what digital needs from them. Strategy, prioritisation and key commercial decisions sit with the Senior E-Commerce Manager; this role makes them real.

You will be the executional link between E-Commerce, Marketing, Social and PR — proactive enough to spot an issue or opportunity before anyone else does, and disciplined enough to route it to the right person rather than run with it alone. Success looks like accuracy, organisation, timeliness and seamless delivery, campaign after campaign.

KEY RESPONSIBILITIES

  • E-Commerce Activation Calendar
  • Maintain and administer the e-commerce and digital activation calendar across campaigns, product launches, promotions and key trading periods.
  • Coordinate timelines, deliverables, dependencies and approvals across Marketing, Social, PR, Design and Supply Chain.
  • Keep stakeholders informed of upcoming deadlines, outstanding requirements and any changes to the plan.
  • Ensure agreed activity is accurately reflected across all digital channels — website, EDM, paid and owned social — at the right time.
  • Digital Asset Management
  • Coordinate the development and delivery of digital assets required for e-commerce, EDM and paid media.
  • Manage briefs, timelines, feedback rounds, approvals and final asset handover with Design and external partners.
  • Maintain organised, up-to-date libraries of current and approved digital assets within the DAM.
  • Ensure assets are supplied in the correct formats, specifications and timeframes for every channel.

EDM Coordination

  • Maintain the EDM schedule in partnership with the Senior E-Commerce Manager.
  • Coordinate campaign focuses, briefs, assets, copy requirements and approvals for each send.
  • Support the build, testing, scheduling and deployment process in Klaviyo, including segment set-up, link checks and device testing.
  • Maintain visibility of all sends and ensure EDM activity aligns with the broader marketing and activation calendar.
  • Website Maintenance & Optimisation
  • Support day-to-day website maintenance, including product, campaign, promotional and content updates in Shopify.
  • Coordinate agreed site changes and ensure pricing, product information, imagery and copy remain accurate and current.
  • Conduct routine checks across the customer journey — navigation, PDPs, checkout, promotions — and flag opportunities, errors or inconsistencies to the Senior E-Commerce Manager.
  • Implement approved optimisation initiatives and support testing, measurement and reporting.

Cross-Functional Content Coordination

  • Work closely with the Social, Professional and Consumer PR teams to communicate digital content requirements early and clearly.
  • Provide clear guidance on formats, specifications, usage requirements and deliverables needed for e-commerce and paid advertising.
  • Coordinate the adaptation and delivery of content for digital commercial use.
  • Ensure content developed across teams can be effectively leveraged throughout the broader digital ecosystem rather than living in one channel.
  • Administration & Workflow Management
  • Maintain project trackers, calendars, briefs, asset registers and digital documentation so the team always has a single source of truth.
  • Coordinate meetings, follow-ups, approvals and outstanding actions, and close the loop on every open item.
  • Support reporting by collating campaign, website, EDM and digital performance information for the Senior E-Commerce Manager.
  • Maintain clear processes and documentation to improve visibility and workflow across digital activity.

HOW THIS ROLE WORKS

This role coordinates and executes agreed plans; it does not set digital strategy. The Associate Manager is expected to be proactive — noticing when a deadline is at risk, an asset is missing, a page is wrong or a customer journey could be smoother — and to surface it quickly with the relevant detail. Recommendations, prioritisation and key commercial decisions remain with the Senior E-Commerce Manager, who will provide clear direction and the space to deliver against it with confidence.

EXPERIENCE & QUALIFICATIONS

  • 2–4 years' experience in an e-commerce, digital marketing, digital coordination or marketing operations role, ideally within beauty, haircare or another premium consumer brand.
  • Hands-on familiarity with e-commerce platforms, EDM/CRM tools and digital asset workflows; experience with Shopify and Klaviyo is advantageous.
  • Demonstrated experience maintaining activation calendars, project trackers and asset libraries across multiple stakeholders.
  • Experience briefing designers and agencies and managing feedback and approval rounds to deadline.
  • Working understanding of website merchandising, paid digital content and the e-commerce customer journey.
  • Tertiary qualification in Marketing, Digital, Communications or a related field is preferred; equivalent experience is warmly welcomed.

  • Strong written communication and briefing skills; able to translate a campaign idea into a clear, complete brief.
  • Confidence working cross-functionally while operating within established strategic direction.
  • Proactive and solutions-minded — quick to spot issues or opportunities and clear about escalating them to the right decision-maker.
  • Comfortable in Shopify, Klaviyo (or comparable platforms), Netsuite ERP, Microsoft 365 and collaborative planning tools; able to learn new systems quickly.
  • Basic data literacy — able to pull, collate and sense-check performance information for reporting.
  • Calm, collaborative and reliable under trading-period pressure.

  • Activation calendar accurate, current and trusted as the single source of truth by all teams.
  • Digital assets delivered on brief, on spec and on time for every campaign, launch and promotion.
  • EDMs built, tested and deployed to schedule with zero live errors.
  • Website product, pricing, promotional and content information consistently accurate, with routine journey checks completed and issues flagged promptly.
  • Social and PR teams clear on digital content requirements, with cross-functional content actively re-used across the digital ecosystem.
  • Trackers, briefs, asset registers and documentation maintained to a standard that gives the Senior E-Commerce Manager full visibility at any time.
  • Reporting information collated accurately and delivered on schedule.
  • Consistent positive feedback from stakeholders on responsiveness, clarity and follow-through.
